Privacy

Your details, looked after.

This policy explains, in plain English, what we collect, why, and what we do with it. We follow the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs).

Who we are

Precision Software Automation is the trading name of Flynn Winstanley Pty Ltd (ACN 702 189 544, ABN 76 702 189 544), of Margaret River, Western Australia. We build websites and business software for service businesses, Australia-wide. When this policy says “we” or “us”, it means Flynn, who runs the studio.

We are a small business. Some small businesses are exempt from the Privacy Act, but we follow the APPs for everyone who deals with us regardless.

What we collect

We only collect what you choose to give us, or what we need to run a system we have built for you. Depending on how you deal with us, that can include:

  • Quote builder briefs. Your name, phone number, email address if you add one, the type of business you run, whether you have a website, the services you picked, and any notes you write.
  • Site chat. What you type into the chat, and the page you started it on. The chat is answered first by an AI assistant, and Flynn can see and join any chat himself through Telegram. If you leave your number through the chat's call back form, or just type a phone number into the chat, we also collect your name (if given) and phone number.
  • Free website check. The website address you check. To see your fixes and get the report emailed to you: your email address, plus your name and phone number if you add them, whether you asked for website tips, and a short summary of the results.
  • Calls and direct contact. Whatever you tell us if you call or email Flynn directly, like any business.
  • Clients' project data. If you become a client, the project and account details needed to build, run and invoice your work, and, where we host or build a system that holds your own customers' information, that data too, handled on your behalf under our agreement with you (see “If you are a client” below).

How we collect it

Directly from you, through the quote builder, the site chat, the website check form, a phone call or an email. We do not buy personal information or collect it from third parties, except the standard technical logs any website host keeps (see “Storage and security” below).

Why we collect it

To reply to you, talk through your project, answer your chat, send you a website check report, and send you a proposal. If you become a client, we also use your details to run the project, provide support and send invoices. We do not sell your details.

Direct marketing

We only send website tips to people who tick the box asking for them. Your website check report itself is not marketing. Any marketing email will comply with the Spam Act 2003 (Cth): it will identify us, and every message will carry a clear way to unsubscribe, which we will act on promptly.

Who it is shared with

We use a handful of named service providers to run this site, the chat and our email. We do not share your details with anyone else, except where the law requires it.

  • Vercel, which hosts this website.
  • Resend, which delivers the quote builder email to Flynn.
  • Google (Gmail), where Flynn's email inbox is kept, and Google PageSpeed Insights, which the website check uses to score the address you enter.
  • Anthropic, whose Claude AI answers the site chat and writes Flynn's lead summaries.
  • Telegram, which sends chats and leads to Flynn's phone, and carries his replies back.
  • Upstash, which stores live chats and lead records on our behalf.
  • Cal.com, which takes intro call bookings (your name, email, the time you pick and any note) and adds them to Flynn's Google Calendar. Its booking window only loads when you choose to pick a time.

Overseas disclosure

Some of these providers store or process information outside Australia. In particular: Anthropic, Resend, Google, Vercel and Cal.com are United States companies and may process information there; Telegram's servers are located outside Australia, in multiple countries; and Upstash, which stores chats and lead records, holds them in Germany, with a copy in the United Kingdom. We have not entered into a contract that itself requires these overseas recipients to comply with the Australian Privacy Principles, so Australian Privacy Principle 8 applies: by sending us your details, you consent to this overseas storage and processing, which is necessary for us to provide the chat, email and hosting features of this site.

Storage and security

Everything you send travels over a secure (HTTPS) connection. To stop spam and abuse, the site briefly notes the internet (IP) address a form or chat message was sent from, kept for up to 24 hours to limit how many requests one address can make. Like most websites, our hosting provider also keeps standard technical logs, such as IP address and browser type, to run the site and keep it secure.

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including secure hosting, access limited to Flynn, and encrypted connections. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

If something goes wrong

We follow the Notifiable Data Breaches (NDB) scheme under the Privacy Act. If we become aware of a data breach likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by law.

How long we keep it

Site chats are deleted automatically after 7 days. Enquiries and leads from the quote builder, the chat's call back form and the website check are deleted automatically from our lead records 2 years after we receive them. Copies Flynn receives by email or on Telegram are deleted by hand on the same timetable, unless we need to keep them for legal, tax or accounting reasons. If you become a client, we keep project and invoice records for as long as the law requires for tax and business records.

Cookies and browser storage

This site does not use cookies, analytics or advertising trackers of any kind. We use a small amount of essential browser storage, only to run the features you are using:

  • psa-chat-sid: a random chat number, so your chat is still there if you come back within a week.
  • psa-chat-seen: how many chat messages you've already seen, so the chat bubble only shows a new-message dot when there's something you haven't read.
  • psa-chat-nudged: a flag cleared when you close your browser tab, so the chat only nudges you once per visit.
  • psa-check-popup: when you last saw the website check popup, so it shows at most once a month.
  • psa-board-view-<project>: on project pages, remembers whether you last viewed a board or list layout.

None of this is used to track you across other websites, and none of it is shared with advertisers. You can clear it any time through your browser's settings; the site will still work, it just won't remember these preferences. Our fonts are served from this site itself, so loading a page does not send your details to a font company.

If you are a client

When we build or host a system that holds your own customers' information, we handle it in line with the Australian Privacy Principles, only access what we need for the work, keep it secure, never store payment card details on our own systems, and tell you promptly if we become aware of any unauthorised access. At handover, we return or delete your data and access details, apart from anything the law requires us to keep.

Access and correction

You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Email or call Flynn and we'll reply within 2 business days. There is no charge, though we may need to verify who you are first.

Children

This site is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us their details, please contact us and we will delete it.

Complaints

Please talk to Flynn first. Email flynn@precisionsoftwareautomation.com.au or call 0476 136 896, and we'll do our best to put it right. If you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

If we change how we handle your details, we will update this page and the date at the top.
